The School of Agriculture and Food Sciences at ADA University is seeking an empathetic, positive, dynamic, and competent Academic Advisor to support students throughout their academic journey. We are looking for a caring and responsible individual who can work independently, take initiative, and collaborate effectively with faculty, staff, and students.
Position Summary
The Academic Advisor is responsible for providing academic advising to undergraduate and/or graduate students concerning their growth and development by constructing meaningful educational plans, which are compatible with their life (academic) goals. Services include guidance to undergraduate and/or graduate students individually and/or within groups to ensure students understand their academic requirements to be able to stay on track until graduation in their program. It is vital for an Academic Advisor to work closely with faculty and staff to build support systems for students.
The Academic Advisor is expected to know the policies and procedures of ADA University and School of Agriculture and Food Sciences. The Academic Advisor ensures that faculty and students comply with such guidelines and propose improvements to Dean if necessary.
The Academic Advisor collaborates with the Dean and Faculty to ensure the effective management of academic affairs related to all aspects that impact students’ academic life, experience, well-being and future career development.
Responsibilities
Developing strategic plans for advising based on student data and delivery outcomes;
Advising students in academic goal-setting and achievement by identifying the most effective and efficient path to program completion;
Interpreting and explaining University policies and procedures;
Providing information related to academic programs, leaves of absence, academic probation, transfer options, and services related to special needs, etc.
Maintaining contact with students throughout the term and providing support while addressing student concerns;
Maintaining detailed and up-to-date student records and data accurately and in a timely manner;
Assisting students with appropriate course selection and specializations/majors/minors in terms of students' stated academic preferences;
Serving as the students' primary academic advisor throughout the transfer evaluation, course selection, and registration process;
Advising students on registration, add/drop, and withdrawal procedures;
Developing plans for students on academic probation and working with them to identify problems and solutions to help them accomplish their plans of study;
Providing follow-up services to students experiencing academic difficulties such as students on academic probation;
Partnering with campus departments and off-campus agencies when necessary to ensure students can access enrichment opportunities:
Attending orientation events arranged for the 1st-year students and representing the School when necessary;
Organizing all activities related to the Capstone Project;
Responding promptly and accurately to student inquiries;
Working collaboratively as a leading team member within the Student Advising team in general;
Assisting and participating in the formation and implementation of organizational goals and objectives;
Organizing and participating in faculty meetings;
Performing other duties as assigned.
Qualifications
Bachelor’s degree required, preferably in English, Education, Psychology, Human Resources, or a related field. A Master’s degree in a relevant field is an advantage. Alternatively, at least 10 years of relevant professional experience in Human Resources, Education, Student Services, or a related area may be considered as an equivalent qualification.
Minimum 2 years of relevant professional experience, preferably in an educational institution, student services, academic advising, or a comparable environment.
Excellent interpersonal and customer service skills, with the ability to communicate effectively and respectfully with a diverse student population, faculty, and staff.
Strong ability to work collaboratively as part of a team, contribute to a positive working environment, and build constructive relationships across different academic and administrative functions.
Strong interpersonal and conflict-resolution skills, including the ability to manage sensitive or challenging situations calmly, constructively, and professionally.
Ability to communicate using positive, respectful, and inclusive language, demonstrating sensitivity to different backgrounds, perspectives, and individual needs.
A welcoming, approachable, and student-oriented attitude, with the ability to make students feel comfortable seeking advice and support while maintaining appropriate professional boundaries.
Excellent written and verbal communication skills, including strong presentation skills and the ability to present information effectively to individual students and groups.
Fluency in English and Azerbaijani.
Strong organizational and time-management skills, with the ability to plan, prioritize, and implement assigned responsibilities and work effectively under pressure to meet deadlines.
Ability to work effectively as a team member, understand and interpret institutional policies, rules, and regulations, and adapt constructively to change.
High level of proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
Ability to maintain accurate records, prepare reports, manage correspondence, and handle student-related information with appropriate discretion and confidentiality.
